What is Best Available Rate?

Also known as Best Rate Guaranteed (BRG), is one of the latest pricing mechanisms, increasingly used by hotels and hotel chains around the world. This is the rate that is available to the public. Hotels match the rate if the guest finds any rate lower than that rate made on the same day and for the same arrival date if posted publicly and without any terms and conditions.  



What is Room Availability?

The number of rooms available for sale is called Room Availability. That does not include a number of rooms allocated for business partners and/or groups.



What does guaranteed room mean?

Guest guarantees the room with a credit card so that the hotel can hold the room for the guest. A valid credit card is required to hold the room. Rooms not canceled before the cancelation deadline will be charged for at least one night.

Hotels will attempt to obtain one-night authorization for the room. The room will be automatically canceled if the credit card declines.

  

What is LNR?

Locally Negotiated Rates (LNR) are assigned to companies and entities that supply a minimum number of rooms to the hotel. Hotels offer lower flat rates or percentage off the BAR rates to these companies. Please be sure to apply for a Special Corporate Rate if your business requires hotel rooms in the area frequently.

 

What is No-Show?

No-show means the guest has a guaranteed credit card on file with sufficient authorization but failed to show up and or canceled,  after the cancelation deadline. The hotel will charge the No-Show Fee equal to minimum one-night stay. No-Show Charges are not refundable.

 

What is Cancelation Deadline?

Cancelation deadline is the latest time or day that a guest can cancel without being charged a cancelation penalty.  The cancelation deadline for individual reservations on non-event days is usually 4 PM day of arrival.

Group cancelation deadlines are usually one, two or four weeks before arrival and in some cases are not cancelable. Please contact your group organizer for the cancelation terms specific to your group.

Cancelation deadline for special event dates could be days or weeks before arrival.



What is Room Block?

Upon acceptance and the signing of a group agreement, the hotel will block a specific number of rooms for your group. Fulfillment of the Room Block shall be the Group’s responsibility, subject to any allowed attrition set in the agreement. The hotel shall, on a regular basis, advise the Group of the number of rooms reserved in the block and the number available. The rooms not picked up by the group's members will be returned to the hotel inventory. The hotel may reduce a room block if the booking pace fails to consume the block promptly.


Group Room Rates

Usually, a discounted group rate is offered to larger groups. These rates are not dynamic and do not change. They are often lower than the best available rates.  These rates are valid within a booking window and expire on the deadline date. Group rates will not be available after the deadline.

 

Group and LNR Rate Coverage

Group and LNR Rates usually cover the room rate and tax. Each guest along with the group organizer and/or LNR Entity, are mutually responsible for other charges including but not limited to food and beverage, damages, international calls, smoking, pet fees and all other services not included in the room.

 

What are OTAs?

Online Travel Agents (OTA), like Expedia, Booking.com and Hotels.com tend to supply a large number of rooms to hotels and have established a system that can check rates and find mistakes in order to offer guests a lower rate. Hotel’s Best Rate Guarantee Policy covers those mishaps and will offer guests the same if not better rate than what they find on an OTA site. Guests are encourage to book directly with the hotel even if they find a better rate elsewhere. Our hotels will certainly match those rates if they are verifiable.

Please notice that most OTA rates are noncancelable and nonrefundable.

 

 

Room Block Attrition

If a groups actual room usage slips below the higher of  (1) the increased room block (if any) or (2) 80% of the original room night commitment, the group agrees to pay, seventy-five percent of the average group room rate, for each room night by which such room night commitment exceeds the group’s actual usage.  Such charges shall be added with tax (if applicable) to, and payable as part of, the master account. 

 

The parties agree that (a) the above formula for the attrition charge is a reasonable estimate of the Hotel’s damages in the event that the room nights in the room block are not utilized and (b) the liquidated damages outlined do not constitute a penalty.

The Hotel shall undertake all efforts to resell any unused room nights in the room block and shall credit those sales against any attrition charges by the following formula.

In regard to attrition, no room shall be deemed to have been resold on any night unless and until the Hotel first sells all rooms outside of the contracted room block that night, plus all rooms within the originally contracted room block which the group does not use and for which the group owes no amount in accordance with the attrition provision.  As to any rooms which are resold, the Hotel will multiply the number of rooms resold each night by the lower of the group’s contracted room rate or the average daily rate achieved by the Hotel that night.  The resulting amount will be reduced by twenty-five percent.  The resulting amount will be the amount of credit for rooms resold to which the group is entitled to the night in question. 

 

Corporate Account Billing Arrangement

Corporations and entities with billing arrangement will be billed weekly or monthly, and the bills are due on arrival.




Collections

The hotel will employ billing collection agencies and attorney to collect any unpaid bill. The cost of collection, attorney fees, and late fees will be added to the total amount due.

 

 

Smoking

Both Comfort Inn and Comfort Suites are non-smoking hotels. No smoking is allowed inside and or at hotel entrances. The designated smoking areas are at least 30 feet from hotel entrances.

 

Any violator smoking in other than designated and marked smoking areas will be charged no less than $250 per incident and an additional $1000 if smoke alarms are set. The hotel also reserves the right to take legal action against violators if they cause extra damage and or loss of income, including refunds issued to other guests.

 



Damages 

By staying at the Comfort Inn and or Comfort Suites, guest and their company and/or group agree that they are individually and collectively responsible for damages, both physical and loss of business.


Representation & Arbitration 

No representative of the Hotel has been or is authorized to make any representation of the hotel for day to day operations other than Hotel General Manager.
